Why replying matters

Your replies aren't only for the reviewer. Every future customer who reads your reviews also reads how you respond. A calm, helpful reply to a complaint can reassure someone more than another five-star review, and a quick thank-you shows the business is active and paying attention.

You reply from your Google Business Profile, where you'll see each review and an option to respond. Replies are public and appear under the review. If you can't find where to reply, check Google's current Business Profile help.

Ground rules for every reply

  • Reply reasonably soon. Within a few days is good; months later looks like nobody's watching.
  • Use the reviewer's first name if it's shown, and sign off with yours.
  • Mention something specific from their review so it doesn't read as copied and pasted.
  • Keep it short. Two to four sentences is enough for most replies.
  • Write as if the next customer is reading, because they are.

How to reply to positive reviews

Thank them, reflect back one detail, and leave the door open. Resist the urge to turn it into an advert. These examples are hypothetical:

"Thanks so much, Priya! Glad the balayage turned out exactly how you wanted. See you in the spring for your refresh. Anna"

"Thank you, Tom. Really pleased the boiler's running quietly again, and thanks for the cup of tea! Give us a shout if anything comes up. Dave"

For a star rating with no text, a single line is fine: "Thanks for the rating, Jo. We're glad you enjoyed your visit."

How to reply to neutral or mixed reviews

Three-star reviews often contain the most useful feedback. Thank them for the good parts, acknowledge the criticism without making excuses, and say what you're doing about it if you're doing something.

"Thanks for the honest review, Ben. Glad you liked the food, and you're right that the wait on Saturday evening was too long. We've added another person on the floor at weekends. Hope we can show you a smoother visit next time. Lena"

How to reply to negative reviews

Take a breath before replying, and never reply while angry. Then follow a simple structure:

  1. 1

    Acknowledge

Show you've read what they said, in your own words.

  2. 2

    Apologise for the experience

You can be sorry they had a bad time without agreeing with every detail.

  3. 3

Give the facts briefly, if needed

One neutral sentence of context is fine. A point-by-point rebuttal isn't.

  4. 4

    Take it offline

Offer a direct way to sort it out: a phone number, an email address or an invitation to message you.

A hypothetical example: "Hi Chris, I'm sorry your cut wasn't what you asked for. That's not the experience we want anyone to have. We'd like to put it right, so please call us on [number] or reply to your booking email and I'll arrange it personally. Anna, owner"

And when the facts are disputed: "Hi Lou, I'm sorry you were unhappy with the delivery time. Our records show the order was dispatched on the day agreed, but I'd like to understand what went wrong at your end. Please email us at [email] and we'll look into it. Raj"

What not to do

  • Don't argue, use sarcasm or call the reviewer a liar, even if you're sure they're wrong.
  • Don't share personal details: what they booked, their medical history, their address or what they paid. Confirming someone is a client can itself be private in some lines of work, such as healthcare or therapy.
  • Don't offer refunds, discounts or freebies in the public reply. Make that offer privately if you want to.
  • Don't ask them to change or remove the review in exchange for something.
  • Don't paste the same reply under every review.
  • Don't stuff keywords or links into replies to try to rank better. It reads badly and doesn't help.

When to take it offline, and when to report a review

Move the conversation to phone, email or a direct message when the issue needs personal details, a refund or a back-and-forth to resolve. Post one public reply showing you've offered to help, then continue privately. If you sort it out, the customer may choose to update their review, but don't ask them to as a condition.

You can't delete a review just because it's negative. If a review breaks Google's policies, for example it's spam, offensive, clearly about a different business, or from someone who was never a customer, you can report it for Google to look at. Check Google's current help for how to flag a review and what qualifies. Reply calmly in the meantime; the reply stays useful to readers whatever Google decides.

The bottom line

Reply to every review, keep it short and specific, thank people warmly, and handle complaints with an apology and an offer to fix things offline. Never argue in public or reveal private details. Replies are written by you, in your Business Profile; no tool should post them for you without your say-so.

Replies work best when there's a steady flow of reviews to reply to. Our guide on how to get more Google reviews covers asking at the right moment, and Darvix AI can send those review requests by email or WhatsApp after each visit; see the reviews feature page. It doesn't reply to Google reviews for you; that part stays in your hands.

Frequently asked questions

Should I reply to every Google review?
Ideally, yes. Short replies to positive reviews show you're active, and calm replies to negative ones show future customers how you handle problems.
How quickly should I reply to a negative review?
Within a few days, once you've calmed down and checked the facts. A thoughtful reply a day later is better than a defensive one in five minutes.
Can I delete a bad Google review?
No, not just because it's negative. If it breaks Google's policies, such as spam, offensive content or a review from someone who was never a customer, you can report it for Google to review. Check Google's current help for what qualifies.
Should I offer a refund in my reply?
Not in the public reply. Offer a way to contact you privately, and discuss refunds or a redo there.
Does Darvix AI reply to Google reviews for me?
No. Darvix AI can send review requests to customers by email or WhatsApp, but it doesn't connect to your Google Business Profile or post replies. You reply to reviews yourself in Google's tools.
